4sHrSupport acts as both a Data Controller (for account holders and website visitors) and a Data Processor (for employee data submitted by our customers). This policy applies to both. For customer-submitted data, the customer's own data governance agreements with 4sHrSupport govern that processing.

Overview

This Privacy Policy describes how 4S HR Support Private Limited collects, uses, discloses, and protects personal data when you visit our website, register for an account, or use the 4sHrSupport Workforce Operations Suite ("Service").

We built 4sHrSupport knowing that workforce data is among the most sensitive data a business holds. Our commitment is to handle it with the highest standards of care, transparency, and security.

Data We Collect

Account Data

Full name, business email, phone number, company name, job title, company size, billing information, and hashed login credentials.

Workforce Data

Employee profiles, employment terms, attendance, leave history, performance reviews, recruitment records, learning records, payroll, and skill assessments submitted by customers.

Usage Data

IP address, browser type, pages visited, timestamps, device identifiers, feature usage analytics, and error logs.

AI Interaction Data

Content of interactions with AI agents (Recruiting, HR Helpdesk, etc.), used to provide accurate responses and improve AI accuracy. Not used to train models on identifiable data without explicit consent.

Legal Basis for Processing

Contract performance - processing necessary to fulfil our agreement with you
Legitimate interests - improving the Service, security monitoring, and analytics, where these are not overridden by your rights
Legal obligation - where required by applicable law
Consent - for marketing and optional processing; you may withdraw at any time

Data Sharing

We do not sell your personal data. We never have. We never will.

Sub-processors

Trusted third-party providers (hosting, payments, email delivery, error monitoring) are bound by Data Processing Agreements and may only process data as directed by 4sHrSupport.

Customer Instructions

We share Customer Data when instructed by the Customer through Platform features, integrations, or API calls.

Legal Requirements

We may disclose data if required by law, court order, or to protect the rights, property, or safety of 4sHrSupport or others.

Business Transfers

In a merger or acquisition, personal data may transfer. We will notify you before your data is subject to a different privacy policy.

Data Retention

Active account data - retained for the duration of your subscription
Customer Data - retained for 30 days after termination, then permanently deleted unless longer retention is required by law
Financial records - retained for 7 years as required by applicable tax law
Security logs - retained for 12 months
Marketing data - retained until you withdraw consent or unsubscribe

Encryption

AES-256 at rest, TLS 1.2+ in transit. All data transfers are encrypted end-to-end.

Access Control

Role-based access control (RBAC), principle of least privilege, MFA available for all accounts.

Monitoring

Audit logging of all data access, regular penetration testing, and independent security assessments.

Breach Response

72-hour breach notification protocol. Incident response plan reviewed annually.

Compliance

SOC 2 Type II program in progress. Employee security training and background verification.

Access

Request a copy of the personal data we hold about you.

Rectification

Request correction of inaccurate or incomplete data.

Erasure

Request deletion of your data, subject to legal obligations.

Portability

Receive your data in a structured, machine-readable format.

Objection

Object to processing based on legitimate interests or direct marketing.

Withdraw Consent

Withdraw consent for consent-based processing at any time without penalty.

To exercise any right, email privacy@4sHrSupport.com. We respond within 30 days and may verify your identity before fulfilling a request.

Analytics - help us understand feature usage and page performance to improve the Platform.
Preferences - remember your settings and personalization choices.
Marketing - used only with your explicit consent to deliver relevant content.

Manage cookie preferences through your browser settings. Blocking essential cookies will impair Platform functionality.

AI & Automated Processing

AI recommendations (candidate ranking, attrition prediction, performance insights) are advisory only. Final decisions remain with human administrators.
We do not make fully automated decisions with significant legal effects on individuals without human review.
AI models are trained on anonymized, aggregated data and regularly audited for bias and fairness.
Employees have the right to request human review of any AI-assisted decision that affects them.
We provide meaningful information about AI recommendation logic within the Platform interface.
